To reserve your date, a signed agreement + a non-refundable retainer of 25–50% is required. Once the retainer is received and the agreement is signed, your event date is officially secured.
The remaining balance is due no later than seven days before the event unless otherwise agreed in writing.
Because event dates are limited and often booked months in advance, reserving early is strongly recommended.

Yes. Villatoro Productions regularly provides event photography and videography services throughout Washington DC, Northern Virginia, Maryland, and surrounding areas.
For events in major metropolitan locations, clients will be responsible for parking, tolls, garage fees, or venue access costs when complimentary parking is not available.

Professional backup equipment and redundant storage systems are always used.
However, in the rare event of equipment malfunction, corrupted media, theft, or other technical failure beyond our control, liability is limited to the amount paid for services rendered.

If additional coverage time is needed, overtime coverage is billed in one-hour increments.
Availability beyond the originally contracted coverage time is not guaranteed, so we recommend planning sufficient coverage in advance.

Villatoro Productions carries Commercial General Liability Insurance with coverage limits of:
$1,000,000 per occurrence
$2,000,000 aggregate
Equipment coverage is also maintained. Certificates of insurance and additional insured endorsements are available upon request.

Corporate cancellation terms are:
More than 30 days before the event: Retainer retained, remaining balance refunded
14–29 days before: 75% of the total fee due
0–13 days before: 100% of the total fee due

Yes. Expedited editing and delivery are available.
Typical rush timelines include:
General event photography delivery in 10–14 business days
Video delivery in less than 21 business days
Client may prioritize video delivery before photo if required.
Rush editing is subject to a 25–40% expedited editing fee depending on the scope of the project.

One round of any combination of 5 minor or moderate revisions is included after the first draft is delivered according to the revision fee schedule in your agreement. Additional revisions or major changes may require additional editing fees.
Requests that require significant changes, such as re-editing large portions of the video, adding new footage, changing the overall structure, or multiple additional revision rounds may require additional editing fees billed at the standard post-production rate.
Providing clear feedback in a single revision request helps ensure the fastest turnaround for the final delivery.

Corporate clients receive a non-exclusive usage license that allows media to be used for:

Uses such as paid advertising, broadcast distribution, sponsorship promotion, or resale require additional licensing.

Villatoro Productions retains full copyright ownership of all media created.
Clients receive a usage license depending on the service category (wedding, corporate, or government). Copyright transfer is not included unless specifically agreed upon in writing.
This is the standard practice for professional photography and videography services.

Raw media is not included in standard packages but is available as a separate license add-on. If your team needs the original files for internal editing — such as cutting your own recap, repurposing clips for internal use, or providing footage to your in-house editor — this can be arranged through a Raw Media License agreement.
The license covers:
Footage delivered as-is (ungraded, unsynced)
Internal editing and repurposing by your organization
Use limited to the licensed entity — footage may not be transferred to outside agencies, partners, sponsors, or third parties for their own use
If you need to share footage with an outside editor, agency, or co-sponsor, an upgraded license with third-party distribution rights is required. Contact us before distributing — addressing this upfront is simpler than amending the agreement after delivery.

Unless a written confidentiality agreement is signed prior to the event, Villatoro Productions reserves the right to display work for:

Clients use event media for marketing, internal communications, social media, speaker promotion, and policy engagement.

Agency engagements are handled under a separate agency agreement. The end client is the licensed party, not the agency, unless otherwise specified in writing. VP works with agencies on scope, NDA requirements, and licensing structures before project kickoff.

Paid advertising and commercial use require an extended license. Common upgrades include paid digital (social/Google/display), sponsorship/co-branded content, broadcast/TV/streaming, and full commercial. Contact us for a quote, fees are based on a percentage of the original service cost and are added before final delivery.

The Standard Corporate License is non-transferable. If you need to share content with a co-sponsor, partner org, or third party for their own use, a Sponsorship/Co-Brand or Raw Media license is required. Contact us before distribution — licensing the correct use upfront is much simpler than resolving it after delivery.

The Standard Corporate License is perpetual, there is no expiration date. It covers use worldwide unless otherwise negotiated. Extended licenses (paid ads, broadcast, etc.) are also perpetual unless a specific term is agreed upon in writing.

A Non-Display Clause can be added to your agreement, which restricts Villatoro Productions from publicly displaying, sharing, referencing, or publishing any delivered media for portfolio, marketing, or promotional purposes. This includes websites, social media, and any publicly accessible URLs.
This clause is common for government, defense, policy, and corporate clients with confidentiality or brand control requirements. It requires written agreement prior to the start of the project and is subject to an additional fee.
